GENERAL DEFINITION OF WORK:
Performs difficult clerical and technical work involving the preparation and maintenance of fiscal or related records; does related work as required.
Work is performed under regular supervision. Supervision may be exercised over subordinate account clerks.
TYPICAL TASKS:
- Prepares, generates and prints payroll data and reports;
- Prints payroll checks;
- Reconciles bank statements and checks against general ledger activity report;
- Processes returned checks;
- Processes accounts payable and accounts receivable and maintains appropriate files;
- Prepares general ledger and journal entry adjustments and ensures accuracy and completeness;
- Establishes bookkeeping and control systems;
- Maintains fund accounts, makes trial balances, accounts for funds received;
- Prepares a wide variety of accounting, fiscal, statistical and similar reports;
- Posts receipts and disbursements to major accounts and prepares reports of fees received;
- Handles payments and inquiries from the general public;
- Monitors the inventory of office supplies and processes purchase requests through the automated financial system;
- Ensures all new vendors complete the application process and are setup correctly in the financial system;
- Serves as the primary point of contact for concerns regarding payments and purchases of items with department;
- Establishes and maintains working relationships with vendors;
- Advises subordinate account clerks and clerical personnel on difficult or unusual bookkeeping and account problems;
- Performs related tasks as required or requested.
KNOWLEDGES, SKILLS AND ABILITIES:
Thorough knowledge of bookkeeping terminology and methods; general knowledge of routine accounting principles and practices; thorough knowledge of standard office procedures, practices and equipment; ability to maintain complex financial records and to prepare financial reports accurately; ability to understand and follow complex oral and written instructions; ability to deal effectively with co-workers and the general public; ability to supervise the work of subordinate clerical personnel.
EDUCATION AND EXPERIENCE:
Any combination of education and experience equivalent of graduation from high school, supplemented by coursework in bookkeeping and accounting, and two years of experience involving the maintenance of financial or statistical records.
