GENERAL DESCRIPTION:

 

The purpose of this job is to provide a variety of specialized administrative and office support functions to the assigned Department. Duties may vary according to assigned office.

 

 

DUTIES AND RESPONSIBILITIES:

 

The essential functions listed below are those that represent the majority of the time spent working in this position. Management may assign additional functions related to the type of work of the position as necessary.

 

  • Performs routine office duties such as answering phones, disseminating messages, maintains conference/training room calendar, schedules and coordinates meeting room reservations.
  • Receives and processes applications for citizen appointed boards; verifies tax status, maintain spreadsheets utilizing software to update boards and commissions.
  • Attends work sessions and prepares minutes which will serve as a public, historical record of meetings and official actions as mandated by law.
  • Prepares certifications after Board action to serve as official documents to record actions approved by the County Commissioners.
  • Receives, distributes and prepares mail for employees and commissioners.
  • Serves as the department’s Office Manager; serves as backup to the Senior Administrative Assistant.
  • Maintains and updates office files; prepares minutes, notes, and information for internal and external meetings. Research information for public records requests.
  • Responds to customers by providing routine information, answering questions and referring customers to appropriate resources.
  • Attends and supports departmental meetings; prepares and updates meeting minutes using county software programs and databases.
  • Creates and maintains specialized reports, records, and files required for the department’s work processes.
  • Provides general office administrative support as directed.
  • Performs related task as required.

 

 

KNOWLEDGE, SKILLS, AND ABILITIES:

 

  • Knowledge of office management techniques including the ability to organize workflow and coordinate activities.
  • Ability to interpret and analyze applicable program content objectively and make necessary decisions.
  • Ability to summarize, compile and tabulate narrative and numerical material.
  • Ability to maintain work standards of programs activities.
  • Ability to maintain an effective working relationship with employees and the general public.

 

 

MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS:

 

Any combination of education and experience equivalent to graduation from high school and four years of responsible secretarial or clerical/administrative/office management experience.

 

 

SPECIAL CERTIFICATIONS AND LICENSES REQUIREMENTS:

 

  • Notary Public
