GENERAL DESCRIPTION:

 

The purpose of this position is to provide clerical support to the Justice Services Department (JSD) during the evening hours, Monday through Thursday from 5:00 PM to 8:30 PM.  This position will also perform routine administrative duties. 

 

 

DUTIES AND RESPONSIBILITIES:

 

The functions listed below are those that represent the majority of the time spent working in this position. Management may assign additional functions related to the type of work of the position as necessary.

 

  • Data entry into multiple systems;
  • Key, box and store closed files;
  • Enter daily attendance;
  • Print attendance rosters for the next day;
  • Maintain client privacy and confidentiality;
  • Update forms, agency documents and signage as needed or requested;
  • Provides general office administrative support as directed;
  • Performs routine office duties such as answering phones and forwarding calls, greeting and assisting the public;
  • Responds to customers by providing routine information, answering questions, and referring customers to appropriate resources;
  • Edits and update forms, agency documents, and signage as needed or requested;
  • Performs related tasks as required.

 

 

KNOWLEDGE, SKILLS, AND ABILITIES:

 

  • Thorough knowledge of operating standard office practices, processes, procedures and equipment, such as use of a multi-line telephone system;
  • General knowledge of Microsoft Office Package and Outlook;
  • Ability to establish and maintain effective working relationships with other employees and the general public;
  • Ability to understand and follow oral and written instructions;
  • Must display the ability to provide and deliver professional, helpful, and high-quality customer services to all clients, customers, contractors, and vendors of Justice Services Department;
  • Ability to take direction and follow documented procedure;
  • Ability to engage positively with customers generally and in difficult situations.

 

 

MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS:

 

  • High School Graduation or GED equivalent.
  • One (1) year of administrative or clerical support or related experience or an equivalent combination of education, training, and experience.

 

 

PHYSICAL DEMANDS:

 

Physical demands refer to the requirements for physical exertion and coordination of limb and body movement.

 

  • Performs sedentary work that involves walking or standing some of the time and involves exerting up to 10 pounds of force on a regular and recurring basis or sustained keyboard operations.
